Studio Operating Procedure
Hours of Business
Our standard studio hours for design and development work are Tuesday–Friday, 9am–5pm. Mondays are reserved for planning and meetings, allowing us to dedicate the rest of the week to progressing your project efficiently.
Technical Support
For issues relating to hosting, domains, email, or website functionality, clients must raise a support ticket at support.unifystudio.co.uk. Support tickets are reviewed and actioned within 24 hours during working days. Out-of-hours support may take longer. Please do not contact us via phone, text, or social media for technical support requests.
Phone Calls
If we miss your call, we will get back to you at the earliest opportunity. Please avoid repeated calls—we may be in a meeting or working off-site.
Project Timelines & Workflows
Lead Times
We do not accept same-day turnaround requests. All new work requires a minimum lead time of 5 working days, subject to availability. We’ll confirm project timelines and costs before scheduling the work. Each project includes 2 rounds of amends; further changes will be charged at £50+VAT per hour.
Website Creative Sign-Off
Final approval of design is required before website development begins. Major changes post sign-off may incur additional costs. Please ensure all feedback is provided and approved ahead of development to avoid delays and extra charges.
General Terms & Conditions
Definitions
‘The Client’ refers to the individual or organisation engaging Unify Studio.
Estimates & Charges
- All prices are subject to VAT where applicable.
- Quotes cover only the services listed. Additional requests will be quoted separately.
- A 20% deposit is required before any project begins.
- Work is invoiced monthly, at project milestones, or by prior agreement.
- Estimates include two rounds of revisions; further changes will be billed at our hourly rate.
- Any brief changes will be discussed and costed in advance.
Scheduling & Delivery
- We plan projects to an agreed timeline. Client delays may affect delivery dates.
- Unify Studio is not liable for missed deadlines outside our control.
- Stage invoices will be issued if a project is delayed or paused for 4 weeks or more.
- Files and materials are held for up to 12 months. Resumed projects will follow original pricing if scope remains unchanged.
Payment Terms
- First-time clients may be asked to pay in full before work begins.
- Standard payment terms: 15 days from invoice date. Late payments may incur 2% monthly interest.
- We reserve the right to withhold or pause work for unpaid invoices.
- Ownership of all project assets remains with Unify Studio until payment is made in full.
Intellectual Property & Usage
- Clients are responsible for ensuring that all supplied assets (logos, images, content, etc.) are properly licensed.
- Unify Studio may outsource work where appropriate but remains responsible for delivery.
- We cannot be held liable for issues caused by third parties not managed by us.
- Clients must report any quality issues within 5 working days of delivery and make claims within 3 working days after that.
Cancellation & Disputes
- If a project is cancelled, Unify Studio reserves the right to charge proportionally for completed work and time booked.
- Disputes must be raised in good faith, ideally via mediation if unresolved.
- Any creative work may be credited to Unify Studio and used in our portfolio unless agreed otherwise.
Liability
- We are not liable for loss or damage to files or data unless due to proven negligence.
- We do not guarantee exclusivity of creative ideas, concepts, or branding.
- Clients are responsible for seeking copyright protection where applicable.
Force Majeure
Unify Studio is not liable for delays caused by circumstances beyond our control (e.g. natural disaster, war, strike, failure of services, etc.).
Hosting, WordPress & Website Terms
Website Hosting
- We offer 99.9% uptime for hosted websites.
- Routine maintenance and WordPress/plugin updates may affect functionality.
- Clients are responsible for managing their content unless support is agreed in writing.
WordPress Maintenance
- We operate reactively to WordPress or plugin updates unless a maintenance plan is in place.
- Functional issues caused by third-party plugins or updates are not our liability unless otherwise agreed.
Client Responsibility
- Clients must maintain secure passwords and update CMS regularly.
- If a site is compromised due to negligence, a £35+VAT recovery fee will apply.
- We offer training and documentation for content management. Additional support is billable at £50+VAT/hour.
Backups & Restores
- Daily snapshot backups and weekly offsite backups are taken for hosted sites.
- Restoring a site from backup due to client error incurs a £35+VAT fee.
Hosting Invoicing & Renewal
- Hosting is billed annually in advance.
- A 1-month notice is required if you wish to cancel hosting or migrate.
- Late payment beyond 40 days may result in suspension or deletion of your website.
Plug-ins
- Premium plugins requiring licenses are charged separately.
- Ongoing compatibility with plugin updates is not guaranteed outside of a maintenance agreement.
Transactional Emails
- These are included where applicable, only during an active hosting plan.
- They are non-transferable and discontinued if hosting is cancelled.
Third-Party Developed Sites
- If we host a site developed by another provider, Unify Studio is only responsible for hosting support—not for technical issues with the site itself.
Agreement
By commissioning Unify Studio, you agree to all terms and conditions stated above.
